Account Security

The Account Security page is where you can find a variety of settings related to your account, including your password settings, two factor settings, and more. To navigate to the Account Security page starting from the default Overview screen, select Account Security on the left panel. Changing your password From the Account Security page, locate the Password section. Select Change Password. The Change Password window will pop up. Enter your current password, followed by your desired password twice in the following two spaces. Select Confirm once you’re ready to change your password.  See also: Account Recovery  Two Factor Authentication Simplified supports two types of Two-Factor authentication: Authenticator Apps and SMS. See the Two Factor Authentication help page for more information.  Allowed IP Addresses  Simplified allows you the ability to lock your account to a whitelist of IP addresses. This option is useful for organizations who wish for their Simplified accounts to be only accessible from their offices, for example. It is strongly advised that you do not enable this feature unless you have at least one static IP address to have in your allowed list.  To enable the whitelist, add at least one IP address, choose a description for it, and click the Save icon next to ir. Alternatively, remove all allowed IP addresses using the X button to disable the whitelist. Remove the one you are currently using last. Devices Signed In The Devices Signed In section will allow you to see the most recent sessions on your Simplified account, and allow you to force a device to be signed out. Sessions that are still active will show Session Active in green under Sign Out Time. To the right of this column is a Force Sign Out button if you would like to force a logout on a device you no longer have access to.  Change Ownership If you wish to transfer the ownership of an account to a different person in your organization, use this section. The New Account Owner section will automatically search for other people in your organization as you type. Note you must add another person to your organization to transfer an account to them.

Billing and Plan Management

To get to the Billing section of your profile starting from the Simplified Home page, click on Plans & Billing.  You will be presented with the Plans and Billing page.  Under Subscribed, you’ll see which products you are currently subscribed to. Click on one of the products to see details about your plan on the right side.  Changing Plans See Plan to see the name of the plan you are subscribed to. User Count for the maximum number of users you can have.  To upgrade from the Free plan to the Pro plan, click on the Change Plan button under the Pro section.  To downgrade from the Pro plan to the Free plan, click on the Change Plan button under the free plan.  Changing Your Billing Information To change your billing information, click on the Manage Plan button in the top right hand corner. Select Manage Billing from the drop-down menu.  Use this screen to change your billing information, and add or remove any payment methods. Click Save to save any changes.  Billing History  Under Manage Plan, click Billing History. Here you will find a list of transactions with proof of purchase codes in the description. This can be exported to a CSV file with the button in the bottom right corner.  Canceling Your Account Please note that if you want to keep your account and data and just switch to the free plan, see Changing Your Plan above. Under the Manage plan dropdown, select the Cancel Subscription option.  Please fill out the box with information on why you are canceling your account. Any text will work here, but it’s very helpful to know if there’s something we can improve about our platform. To finalize your cancellation, click Cancel Account. After canceling your account, you can re-subscribe for up to 30 days before your data is removed. After 30 days, all data will be permanently deleted and in no way retained by us.

Logging In

You can sign in to Simplified HR with a Simplified account, or using a Google account on your employer’s domain. Your employer will let you know which method you need to use.  Below is the login page. To sign in using a Simplified account, enter the email address associated with your account in the 'email' field and your password in the password field. Select the 'remember me' box if you are not on a shared computer and would like to remain signed in.  To sign in using a google account on your employer’s domain, click the Sign in with Google button and follow the prompts to use the correct account on your employer’s domain.  Device Verification If you are on a device that Simplified doesn't not recognize as associated with your account, you will be asked to verify your identity. Simplified will send a one time code to the anonymized email address shown.  The code will come in an email as shown below.  If you do not receive an email like this with your one time password, make sure that you check your spawn folder and Gmail tabs if applicable.  Enter the one time code in the prompt, and check Remember this device for 30 days if you are not using a shared computer and wish to avoid verification when possible.  Note: The one time code provided by this email is only valid for 15 minutes after send time. If you receive the following message upon submitting your one time code, please check your email again for a new code.  Two Factor Authentication  Simplified HR may ask for a Two Factor Code from Google Authenticator or SMS, if you have Two Factor Authentication set up on your account.  Read the Two-Factor Authentication topic for more info.

Two-Factor Authentication

BeSimplified Accounts support two types of Two-Factor authentication: Authenticator Apps and SMS. Enabling Two-Factor Authentication To enable two factor authentication, starting from the default Simplified Overview screen, first navigate to the **Account Security **panel on the left side. On the Account Security page, you will find the Two Factor Authentication section.  From this section, you can choose to either enable two factor authentication using an Authenticator app on your mobile device or using SMS verification.  Using an Authentication App There are many possible choices of authentication apps that will work with Simplified. If you don’t already have one, we suggest you use Google Authenticator.  Setting up with Google Authenticator  Directly From Install  Select Get Started, then select Scan QR code. From an Existing Install  Open the Google Authenticator app, then select the rainbow “+” icon in the corner. Select Scan QR Code. On the **Account Security Page **on Simplified HR, select Enable Authentication App. You will see a window like the one below  Point your phone camera at this QR code (after selecting Scan QR Code in the app). It should instantly add your Simplified account. Take the 6 digit code from under your Simplified account and enter it in the blank in the Enable Authentication App window. Note: Authenticator Codes are timed and refreshed with the loading circles to the right of the code. Be sure to time your entry such that you have enough time before the code refreshes.  Select Activate. When the activation code is successful, Simplified HR will provide you with backup codes. These codes are needed to recover your account should you lose your phone or uninstall the Google Authenticator App. Be sure to save them somewhere safe.  Logging in with an Authenticator App After activating the authentication app option, the above screen will show after entering your password and, if you are on a new device, the email verification code.  In your authenticator app, there should be a listing for your Simplified account.  Take the 6 digit code from under your Simplified account and enter it in the blank. Select Remember this device for 30 days if you want to avoid entering the Two factor for every sign in. Select Verify. Note: Authenticator Codes are timed and refreshed with the loading circles to the right of the code. Be sure to time your entry such that you have enough time before the code refreshes.  SMS Two Factor On the **Account Security Page **on Simplified HR, select Enable SMS Verification. You will see a window like the one below  Select your region code from the drop down and enter your full phone number without dashes, spaces, or parenthesis. Select Send. This will send a code to your SMS.  You should receive a text message with a code much like the one below. Enter this code under Enter 6-Digit Code. You should also choose a name you would like to know this device by and enter it under Identifier. Select Activate. When the activation code is successful, Simplified HR will provide you with backup codes. These codes are needed to recover your account should you lose your phone number. Be sure to save them somewhere safe.  Logging in with SMS Two Factor  After activating SMS Verification, the above screen will show after entering your password and, if you are on a new device, the email verification code.  Take the 6 digit code from the SMS and enter it in the blank. Select Remember this device for 30 days if you want to avoid entering the Two factor for every sign in. Select Verify. Logging in with both SMS and Authenticator App Options If you have enabled both an Authenticator App and SMS Verification, you will be able to use either method to enter your account, and it will not require both. By default, the Authenticator App takes priority. Select Use SMS Verificationfrom the Authentication Required Screen.  Changing the Priority of the Two Factor Options Starting from the default Overview screen, first navigate to the **Account Security **panel by selecting your name in the top right corner of the page, then selecting Account Security. On the Account Security page, you will find the Two-Factor Authentication section.  To change which method is asked when logging in by default, select the star next to Authentication App or SMS Verification.
